Word to PDF Conversion: Five Checks Before You Share the File

Review fonts, page breaks, links and document structure before sharing a converted Word document as PDF.

PDF is useful for sharing a document in a stable form, but conversion does not guarantee that every element will remain identical. Review these areas before sending an important file.

1. Fonts and characters

Check headings, symbols and non-English characters. A missing font can change line wrapping or replace a character.

2. Page breaks

Look at the end of each page for isolated headings, split tables or unexpected blank pages. Small layout changes can move content to the next page.

3. Images and tables

Confirm that images remain clear and tables fit inside the page margins. Complex layouts may be simplified by text-focused browser conversion.

4. Links and contact details

Test important links and verify email addresses, phone numbers and dates. These details are easy to overlook during a visual scan.

5. Document information

Review the PDF filename and metadata before publishing. Remove internal comments or details that should not be shared.

Headers, footers and numbering

Verify heading order, reading order, link text and alternative text when the PDF will be published. A document that looks correct can still be difficult to navigate with assistive technology. Text-focused browser output may not preserve every accessibility tag from Word.

Printing and page size

Confirm A4 versus Letter size, portrait versus landscape orientation and margin placement. Print preview is useful even when the PDF will be shared digitally because clipped content often becomes visible there.

Before sending

  • Use a clear final filename and remove draft labels.
  • Search for tracked changes, comments and internal notes in the source.
  • Open links and verify contact details.
  • Compare the PDF page count with the intended document.
  • Keep the editable DOCX as the master copy.
